The Cost of Sending Without Checking#

Every cold email campaign that hits spam instead of inboxes wastes more than just the time you spent writing it. Failed campaigns burn through domain reputation, making future sends harder. They waste prospecting effort. And they create a false signal that your messaging doesn't work when the real problem is deliverability.

The fix takes minutes: check your sending domain health before you launch. Here's exactly how.

The Pre-Send Checklist#

Before clicking send on any cold outreach campaign, work through these checks in order. Skip one and you risk the entire campaign.

1. Verify Email Authentication#

Your sending domain needs three authentication records configured correctly:

  • SPF — Authorizes which servers can send email on your domain's behalf. Without it, receivers have no way to verify your messages are legitimate.
  • DKIM — Adds a cryptographic signature proving your email hasn't been altered in transit.
  • DMARC — Tells receiving servers what to do when SPF or DKIM checks fail.

Run your sending domain through the Email Health Checker to verify all three are properly set up. A single misconfigured record can route your entire campaign to spam.

2. Check for Blacklist Listings#

If your domain or its associated mail server IPs appear on any DNS blacklists, your emails will be blocked or filtered before authentication even matters.

Use the Blacklist Checker to scan your domain against major blacklists. If you find a listing, resolve the underlying issue and request delisting before sending.

3. Assess Domain Age and Reputation#

New domains face heightened scrutiny from email providers. If your sending domain is less than 90 days old, scale your campaign volume down significantly or wait until you've completed a proper warm-up period.

Check your domain's history with the Domain Age Checker to understand where you stand.

4. Run an Inbox Risk Check#

After verifying individual components, run a comprehensive inbox risk assessment. The Inbox Risk Checker evaluates all the signals together — authentication, blacklists, domain age, and more — to give you a clear picture of whether your domain is ready for outreach.

5. Simulate Your Campaign#

If you're sending from multiple domains or want to evaluate which sending domains perform best, the Cold Email Campaign Simulator lets you test your full campaign configuration before sending a single real email.

Enter your sending domains and the tool analyzes each one, showing you which domains are healthy, which have issues, and which you should avoid using entirely.

What to Do When Checks Reveal Problems#

Finding issues before sending is the entire point. Here's how to address the most common problems.

Authentication Failures#

If SPF, DKIM, or DMARC checks fail:

  1. Log into your DNS provider
  2. Add or correct the records identified by the check
  3. Wait for DNS propagation (usually 15-60 minutes)
  4. Re-run the check to confirm the fix

Don't send until all three pass. Partial authentication is worse than it sounds — providers interpret it as a red flag rather than a partial green light.

Blacklist Appearances#

If your domain appears on a blacklist:

  1. Identify the cause (compromised account, misconfigured server, previous owner's activity)
  2. Fix the root cause
  3. Submit delisting requests to each blacklist
  4. Monitor for re-listing after delisting is confirmed

Some blacklists process requests within hours. Others take days. Factor this into your campaign timeline.

Low Domain Age#

If your domain is too new for high-volume outreach:

  1. Start with small, highly targeted sends to contacts likely to engage
  2. Focus on quality over quantity during the warm-up period
  3. Monitor engagement metrics closely — opens, replies, and bounces
  4. Gradually increase volume over 4-8 weeks

Patience during warm-up pays off with better deliverability long-term.

Choosing the Right Sending Domains#

Many outreach teams use multiple sending domains to distribute volume and protect their primary brand domain. When selecting sending domains:

  • Separate outreach from transactional email — Your customers' password resets shouldn't compete with cold outreach for reputation.
  • Warm up each domain individually — Reputation doesn't transfer between domains, even subdomains of the same root.
  • Rotate thoughtfully — Spreading volume across domains helps, but only if each domain is healthy. Ten unhealthy domains perform worse than one healthy one.
  • Monitor all of them — Set up continuous email health monitoring for every sending domain so you catch problems between campaigns, not during them.

During and After the Campaign#

Pre-send checks are essential, but monitoring doesn't stop when you click send.

During the Campaign#

  • Watch bounce rates in real time. A spike above 3-5% means something is wrong.
  • Monitor spam complaint rates. Above 0.1% is a warning sign.
  • Track inbox placement if your email tool supports it.

After the Campaign#

  • Re-check your sending domains. Campaign activity can trigger blacklistings that weren't present before.
  • Review engagement metrics. Low open rates may indicate deliverability problems rather than messaging problems.
  • Document what worked. Track which domains performed best for future campaign planning.

Building a Repeatable Process#

The best cold email teams don't treat deliverability as a one-time check. They build it into their workflow:

  1. Before every campaign: Run the full pre-send checklist
  2. Between campaigns: Monitor sending domain health continuously
  3. Monthly: Review domain reputation trends and blacklist status
  4. Quarterly: Evaluate sending domain strategy and retire domains showing decline

This approach catches problems early and keeps your outreach infrastructure healthy over time.
